PURPOSE:

Under the general supervision of the Associate Dean of Extended Education & International Programs, and the day- to-day direction of the Director of the Speech Language Pathology (SLP) Program, the Administrative Support Coordinator performs a full range of complex clerical and record keeping, in support of the administrative objectives of the SLP Program.

ESSENTIAL DUTIES AND RESPONSIBILITIES include, but are not limited to, the following:
  • Performs a broad range of complex technical/clerical duties in support of the Speech Language Pathology Program and under the direction of the Program Director, requiring discretion, good judgment, and timeliness when performing assigned tasks.
  • Coordinates and disseminates communication about the program to key stakeholders. Works collaboratively and collegially with a variety of people including students and various units on campus.
  • Supports the Coordinator of Clinical Education, and provides support for practicum placements, including collaborating and communicating with practicum sites to establish MOUs.
  • Coordinates the ordering of materials and supplies. Keeps an inventory of all supplies and updates/coordinates the check-in/out system for materials and supplies.
  • Coordinating and organizing special events, on and off campus meetings; schedules, prepares agendas and compiles materials for meetings, events, and conferences. Coordinates office space and furniture moves.
  • Coordinates scheduling of domestic travel arrangements; prepares and processes travel forms to include authorization, reimbursement and claim forms with backup documentation.
  • Gathering and organizing data and documents, and providing reports. Maintains a complex program infrastructure and system of documents and files. Updates and maintains program management systems such as CALIPSO and Airtable. Assists with designing and developing accreditation database structures.
  • Provides assistance with other day-to-day administration of the program as needed. Provides daily oversight to Student Assistant(s).

KNOWLEDGE, SKILLS AND ABILITIES:

Thorough knowledge of: applicable university infrastructure, policies, and procedures; English grammar, spelling, and punctuation; office systems and budget policies and procedures.

Ability to: use a broad range of technology, systems and packages; independently handle multiple work unit priorities and projects; apply independently a wide variety of policies and procedures where specific guidelines may not exist; perform standard business math, such as calculate ratios and percentages, track financial data, and make simple projections; draft and compose correspondence and standard reports; handle effectively a broad range of interpersonal contacts, including those at a higher level and those sensitive in nature.

MINIMUM QUALIFICATIONS:

Knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing. Knowledge of business mathematics beyond basic arithmetic. The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite. These entry qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.

SPECIALIZED SKILLS:

Completion of a high school program, technical/vocational program, or their equivalents AND at least three (3) years of related office work experience. Excellent customer service and communication skills. Experience tracking and monitoring budgets, revenue, and expenditures. Ability to perform accurate data entry. Highly proficient in the use of personal computers including word processing, spreadsheet, presentation, and database software.

PREFERRED QUALIFICATIONS/DESIRABLE EXPERIENCE:

Proficient in the use of Oracle/PeopleSoft, Cashnet, CSU Common Management System or equivalent student and financial information system; Microsoft Office Professional Suite, and Google mail and calendaring programs. Experience with Hyperion reporting. Highly desirable: Demonstrated understanding of and commitment to CSUMB's Vision.

  • This position is designated as a Campus Security Authority (CSA) and will be required to participate in annual training and to immediately forward to the Clery Director all reports of crimes brought to their attention pursuant to the Clery Act and California State Education Code, Chapter 16, of the Donahue Higher Education Act, Section 67380.
  • This position will have a duty to report to the Campus Title IX Officer information pertaining to victims of sex discrimination, sexual harassment, sexual misconduct, dating/domestic violence, and stalking as required by CSU Executive Order 1095.

PHYSICAL ENVIRONMENT:

Office environment with standard equipment and tasks. Position requires working at a computer and desk for extended periods of time. Primary work location will be CSUMB at North Salinas but may require travel to CSUMB Main Campus. Any travel reimbursement will be in accordance with the CSUMB travel policy.
